What Shipping Method Options Do You Offer?

We offer a variety of ground and air shipping methods to meet virtually any requirements for domestic and international destinations. These include common carrier services from United Parcel Service® ("UPS"), and ground & air services from the United States Postal Service® ("USPS") as follows:

    How Long Will It Take To Deliver My Order?

    The elapsed time between placing your order and receiving it depends on several factors including when it was placed; when we processed it; the time for picking, packing and shipping; and, carrier transit time (also see “What If One Of My Items Has A Shortage After Ordering?

    The following charts provide a handy guide to determine total delivery time for your order. Simply look-up (i) Ship Method, (ii) when you placed your order, (iii) destination, and add the "Days Elapsed" from Tables I and IIa or IIb , as applicable (also, see "Expedited Order Processing").

    Refer to the "Zone Map" below for greater detail on transit times.

    Holiday Delivery Information:  due to heavy volumes, the common carriers will not guarantee transit times on any service other than Next Day Air or 2nd Day Air between Dec. 10th and Dec. 24th.

    Also, The Scent Works will be closed on the dates shown in our 2010 Observed Holiday Schedule. Please take note.

    What If I Want You To Ship To An Alternate Address?

    If your order is shipping to an address that is not the same as your credit card's billing address, our Address Verification System ("AVS") will automatically flag the order and place it ON HOLD.

    If your order has been flagged due to an AVS problem, you will subsequently receive an automated email message indicating the problem(s), providing possible solutions, and requesting that you correct it(them) before we can proceed further.

     

     

    Do I Need To Order Early During The Holidays?

    Our busiest time is about 4 to 6 weeks before each major holiday. That's when everyone is manufacturing their respective end-products to be sold during the holiday. So, when we refer herein to "holidays" or the "holiday period," we're actually referring to this prelude period.

    Every effort will be made to get your holiday order delivered timely but we cannot guarantee delivery except to the carrier. To ensure your delivery for most items during holiday periods, please place your orders in a timely fashion but expect some delays due to order volume.

     

     

    How Will I Know When You Ship My Order?

    Upon shipping your order, we will send you an email confirmation, including delivery tracking information, with a link by which you can track your order through our carrier's web site, if available (some carriers do not provide tracking. Please refer to the Service Description tables in "What Shipping Method Options Do You Offer?" for details).

     

     

    Shipping & Handling Charges

    How Are My S&H Charges Calculated?

    S&H charges are tabulated automatically at Checkout for an entire order at one time based on each item's actual weight, shipping method and destination. Because the calculation method cannot take into account important aspects, including multiple box shipments, oversized or volumetrically weighted boxes (see "Dimensional Weight"), certain surcharges, and other items, the S&H charges shown at Checkout can only be an estimate (though usually accurate). Thus, your actual shipping costs may vary from those shown (also, see "What Is Included In My S&H Charges?").

    Also and in some cases, it is not possible to accurately confirm S&H charges before packing and/or shipping your order as there may also be costs incurred after shipment for address corrections or other incorrect/invalid information provided by the customer; redirected deliveries; and the like. The customer is responsible for all freight-related costs and we reserve the right to charge the customer all such S&H charges. Notwithstanding, we will endeavor to contact you and obtain prior approval for any S&H charges which are greater than twenty-five percent (25%) more than shown in our shopping cart.

    Additional charges also apply on orders with 2 or more shipping addresses, or with multiple partial shipments, but will NOT be shown during Checkout. Please contact Customer Service for details on charges.

     

     

    What Is Included In My S&H Charges?

    The S&H charges shown on our website include...

    • the actual cost of freight transit (i.e., what we pay the carrier to transport your shipment to the destination;

    ...plus amortized freight-related costs including, but not limited to:

    • labor costs for preparation of requisite additional paperwork;
    • carrier pick-up charges;
    • labor and out-of-pocket expenses for manual transport to carriers' depots, when required;
    • apportionment of liability insurance premiums;
    • cost of special marking requirements;
    • cost of special containers and/or labelling;

    ...and the like.

    Rather than charging a discrete Handling Fee, these costs are estimated annually and amortized into our overall fee structure.

    Not shown and specifically excluded from our S&H charges are such items as Dimensional Weight-related transit charges (see "How Are My S&H Charges Calculated?"), address correction fees, redirected delivery handling fees, multiple address delivery fees, other charges levied by the freight carrier, and any other charges for related freight services rendered.

     

     

    How Do I Determine S&H Charges Myself?

    You can always determine S&H charges yourself anytime at your convenience by following these simple instructions:

    1. ADD desired items to shopping cart;
    2. SCROLL DOWN the shopping cart page to the SHIPPING CALCULATOR;
    3. INSERT either your zip code into the "Zip Code" field for domestic shipments, or select your country from the pull-down menu for international shipment;
    4. SELECT the SHIPPING METHOD, click the APPLY button; and
    5. READ the S&H Charges shopping cart at the top of the page.

    A couple of notes:

    • S&H shown are only an estimate (though usually accurate) and may vary depending upon several factors (Dimensional Weight for bulky items, etc).
    • If S&H are inordinately low (e.g., $0.18 domestic or $2.25 foreign) or high (i.e., $99,999.99), this indicates that selected carrier is NOT AVAILABLE. Use the BACK button and choose another carrier.

    Is My Shipment Insured?

    All of our Common Carrier Services provide full value insurance on all packages up to $50,000.00 per package.

    However, there is no insurance available or offered for any Post Office Services and the Buyer assumes all risk of loss on such orders.

    Please note that The Scent Works is only responsible for delivering your package to the carrier (see "F.O.B. Point and Title").

     

     

    What is "Dimensional Weight"?

    Dimensional weight refers to a standard formula used throughout the freight industry that considers package volume when determining your S&H charges. Chargeable weight for your shipment is calculated as the greater of either the actual weight or the calculated Dimensional Weight of all packages in your shipment.

    Dimensional weight is determined by using the International Air Transportation Association (IATA) volumetric standard. The calculations are then used to consider the amount of space your package will take up in relation to the actual weight of your package.

    Calculate the Volume

    The volume of each package is calculated by multiplying the "L"ength by the "W"idth by the "H"eight, in inches, with each measurement rounded to the nearest whole inch. The resulting total is the cubic size of your package.

    For a multiple-package shipment, we add the cubic size of all of your packages together. The resulting total is the cubic size of your shipment.

    Calculating Dimensional Weight

    To determine the dimensional weight in pounds:

    • Air & Grounds shipments within the 50 states:  divide the cubic size by 194, and round to the nearest full pound.
    • Air & Grounds shipments outside the 50 states:  divide the cubic size by 166, and round to the nearest full pound.

    The greater of the above calculation or the actual package weight is the weight used to calculate S&H charges. For multiple-package shipments, the cubic sizes for all of the packages are added together. The total is the volume of the shipment.

     

     




    Are Shipping & Handling Charges Reduced For Commercial Addresses?

    All of our shipments are classified as residential shipments and shipping & handling charges are calculated accordingly. If your Shipping Address is a commercial address (see chart below), please indicate the "Company Name" in the SHIP-TO Address field on the Billing & Shipping page during Checkout. We must be able to confirm your corporate name and address through published and easily accessible third party publications (e.g., telephone directory, online commercial listings, etc). We will manually adjust your order and send you a new e-mail confirmation. Please note: failure to provide the requisite information will automatically disqualify an order for Commercial Shipping & Handling rates without further Notice.

    What If I Refuse Delivery Of An Order?

    Refusal to accept delivery of a shipment from, or the unauthorized return of a shipment to, The Scent Works is a breach of contract. Such act does not ipso facto relieve the Buyer of either the responsibility to make any (and all) payment(s) that is due and payable, nor does it require The Scent Works to refund monies already paid. Just as "...>Title and risk of loss to all goods furnished hereunder shall pass to Buyer upon [The Scent Works'] delivery to the carrier at the shipping point (see "FOB Point and Title" under General Terms and Conditions), so such goods remain the property of the Buyer. We will not be responsible for the safe keeping of these goods but will nevertheless hold Buyer's property for thirty (30) days, after which time the goods will be considered abandoned property and we will dispose of it as we deem appropriate in our sole discretion.

     

     

     

    Miscellaneous

    Do You Ship Heavy Or Oversized Items?

    Some heavy or large items, which are identified as oversize on their item description pages, have special shipping and handling costs. Our shopping cart is not currently set up to calculate shipping & handling charges for oversized or multi-box shipments. Contact Customer Service for details.

    Please note: Oversize items cannot be shipped to Alaska or Hawaii.

     

     

    How Do You Handle Regulated or Hazardous Materials?

    We're sorry, but items containing regulated or hazardous materials cannot be shipped by air. These items are identified on their item description page as “RESTRICTED” or otherwise as containing regulated or hazardous materials.

    Most of our packages are delivered by a combination of air and ground transport. The U.S. Federal Aviation Administration (“FAA”) and International Air Transport Association (“IATA”) restricts the air shipment of certain items that could potentially impair safe flight. We are committed to getting your order to you as quickly as possible, but we also must to do it in compliance with all government rules and regulations. Accordingly, we cannot ship by air some orders that contain FAA/IATA­-restricted products.

    Restricted items typically fall into one of two categories:

    • Aerosol products in pressurized spray cans, such as hairspray and shaving cream. Currently, The Scent Works does not carry any aerosol-based products.
    • Products that contain flammable, volatile or corrosive chemicals, such as certain essential oils and fragrance oils.

    Items marked as "RESTRICTED" may be shipped via Ground Service only. Refer to Shipping Options for your selection. Your order will be automatically downgraded to Ground Service (non-Canadian international shipments not permited: item will be deleted from your order) at order processing time and we will not necessarily notify you in advance!).
